Connect assets and have full control over them in Business Manager

Centralize Asset Control in One Place

Now that your Business Manager (BM) is set up, it functions as an "empty office." Depending on the channel the client intends to use, we must determine if it needs to be connected, is already connected, or currently resides in a different Business Manager.

⚠️ Note: In Meta's terminology, an "Asset" is anything your company owns (your Page, Instagram, WhatsApp, etc.). Connecting them to the BM ensures legal ownership belongs to the company, rather than the personal profile of an employee or partner.


📋 Before You Start (Golden Rules)

  • Ownership: You can only add assets if you are already an Administrator of them via your personal profile.

  • Use a Desktop: Do not attempt this via mobile; the probability of error is high.

  • Professional Accounts: Your Instagram and WhatsApp must be "Business" versions. Standard personal accounts frequently cause connection errors.


⚙️ Asset Configuration

For all the steps below, the starting point is always the same:

  1. Access business.facebook.com/settings.

  2. In the left sidebar, locate the Accounts section.

  3. Select the asset you wish to connect and follow the specific path below:

🔵 Scenario A: Adding a Facebook Page

Use this option to claim ownership ("This Page is mine").

  1. In the sidebar menu, click on Pages.

  2. Click the blue Add button.

  3. Select "Add a Page" (the 1st option).

    • Note: Never select "Create a new Page" if the page already exists.

  4. Enter the Page Name or paste its URL.

  5. Click Add Page.

Permissions:

  • If you are already an admin, approval is immediate.

  • If you are not the Page Admin and another Admin has already connected it to the BM, simply click on "Assign People" and select your profile to grant full control, as shown in the image below.

🟣 Scenario B: Adding an Instagram Account

Use this option to sync your Instagram and enable integrated ads.

  1. In the sidebar menu, click on Instagram Accounts.

  2. Click the blue Add button.

  3. Scroll down and click "Connect your Instagram account".

  4. A pop-up window will appear. Log in with your Instagram username and password.

    • Tip: If you have two-factor authentication enabled, keep your phone nearby to retrieve the SMS code.

  5. The system will ask if you want to connect it to the ad account. You can click Finish.

🟢 Scenario C: Adding a WhatsApp Business Account

Use this option to enable "Send Message" buttons on your ads.

  1. In the sidebar menu, click on WhatsApp Accounts.

  2. Click the blue Add button.

  3. Select the country code (e.g., Mexico +52, Spain +34, Colombia +57, etc.) and enter your WhatsApp Business number.

  4. Click Continue.

  5. You will receive a 5 or 6-digit code within the WhatsApp app on your phone.

  6. Enter that code on your computer to confirm.

Permissions: If another Admin has already connected the account to the BM, simply click on "Assign People" and select your profile to grant full control, as shown in the image below.

🛡️ Best Practices and Security

To prevent bans and ensure uninterrupted access, follow these guidelines:

Assign People to Assets Adding a Page, WhatsApp, or Instagram is not the final step. You must explicitly designate who is authorized to manage them.

  1. Click on the Asset (e.g., the Page you just added).

  2. Click the "Add People" button.

  3. Select your name from the list and toggle the "Full Control" switch.

    • Without this step, you legally own the Page but cannot operationally manage or publish on it.

Do Not Mix Client Assets If you are an agency or consultant, DO NOT add a client's Page to your BM using the "Add a Page" button. This transfers ownership to you.

  • The correct method: The client must create their own BM (using this guide) and grant you access as a "Partner".


🚫 What NOT To Do (Danger Zone)

  • Do not try to add "trapped" Pages: If you encounter an error stating "This Page belongs to another business," do not force it. You must identify the current owner (often an old agency or former employee) and ask them to remove the Page from their BM first.

  • Do not connect private Instagram accounts: If the profile is private (locked), the connection will fail and may trigger security flags. Switch it to Public/Professional beforehand.

  • Do not log in/out frantically: If you mistype your Instagram password 3 times, stop. Wait a few hours. Repeated attempts will result in a temporary security block.


✅ Final Checklist

Your Business Manager is organized if:

  • [ ] The Facebook Page and WhatsApp Account are under your Full Control.

  • [ ] Instagram appears in the "Instagram Accounts" list.

  • [ ] When clicking "People" inside each asset, your name is listed as an admin.
